Air817 Field App Privacy Policy

This Privacy Policy explains how the Air817 mobile application (the "App") collects, uses, shares, and protects your information. The App is a field operations tool provided to the AIR817 workforce by AIR817 ("AIR817", "we", "us", or "our") and is developed and operated on AIR817's behalf by AAI Consulting LLC. It is intended for authorized AIR817 employees and approved subcontractors who sign in with a company-issued account.

Information we collect

Account information

When your company account is created, we process your name, work email address, and (optionally) phone number so you can sign in and so your work can be attributed to you.

Location data

When you start a clock-in or travel session in the App, we collect your device's location and record it against that session. Each location reading includes your approximate and precise coordinates (latitude and longitude), the accuracy of the reading, and the time it was taken. Readings are taken periodically (roughly once per minute) for as long as the session is active.

Background location. So that your time is recorded accurately even when you are not looking at your phone, the App collects location in the background, including when the App is not open and when your device is locked, for the duration of an active clock-in or travel session. This background collection begins only after you clock in and stops as soon as you clock out. The App does not collect your location while you are clocked out.

Photos, videos, and audio

When you capture or upload photos and videos for job documentation, we collect that media along with any project, crew, and location metadata you attach to it. If you record video with audio, the microphone is used to capture that audio. The camera and microphone are used only when you actively choose to capture media.

Job and timekeeping records

We collect the work data you submit through the App, such as time entries, daily reports, material logs, RFIs, submittals, change orders, and other project records.

Device and diagnostic data

To keep the App reliable, we collect basic device identifiers, app activity, and crash and diagnostic logs.

Biometrics (Face ID / fingerprint)

You can choose to protect access to the App with your device's biometric lock (such as Face ID or fingerprint). This authentication is handled entirely by your device's operating system. We never receive, collect, or store your biometric data.

How we use your information

• Timekeeping and payroll. We use location collected during clock-in and travel sessions to verify that you were at the assigned job site and to calculate the hours and travel time you are paid for.
• Automatic clock-out. The App compares your location to the job site boundary (geofence). If you remain outside that boundary for several consecutive readings, the App can automatically clock you out so your timesheet reflects when you actually left the site.
• Job documentation. We use the photos, videos, forms, and records you submit to operate AIR817's construction-management workflow for your projects.
• Account and security. We use your account details and device data to authenticate you, keep the App secure, and provide support.
• Reliability. We use crash and diagnostic logs to fix bugs and improve performance.

App permissions and why we request them

• Location (including background / "allow all the time"): to record job site attendance and travel time while you are clocked in, and to auto clock-out when you leave a site.
• Camera: to capture photos and videos for project documentation.
• Microphone: to record audio when you capture video.
• Photos / media: to upload existing photos to projects and to save photos you capture.
• Notifications: to alert you about clock-in status, geofence exits, and work updates.
• Face ID / biometrics: to optionally lock the App; handled on-device only.

You can grant or revoke any of these permissions at any time in your device settings. If you deny or revoke location access, time tracking and automatic clock-out features will not work correctly.

How we share your information

Your work records, including the location associated with your clock-in sessions, are available to AIR817 and its authorized administrators (such as your foremen, project managers, and payroll staff) for timekeeping, payroll, and project-management purposes.

We share data with service providers that help us operate the App, including our cloud database and backend provider (Supabase) which stores your records on our behalf. These providers may only use the data to provide services to us.

We may disclose information if required by law, to comply with legal process, or to protect the rights, safety, and property of AIR817, our workforce, or others.

We do not sell your personal information, and we do not share it with advertisers or use it for advertising.

Data retention

We retain timekeeping, location, and job records for as long as needed to operate AIR817's business, meet payroll and recordkeeping obligations, and comply with applicable law. When data is no longer needed, we delete or de-identify it.

Data security

Data transmitted between the App and our servers is encrypted in transit using HTTPS. We use access controls and industry-standard safeguards to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and to respond promptly to any incident.

Your choices and rights

• Location: You control location access through your device settings and by clocking out, which stops location collection.
• Access and correction: You may ask us to access or correct the personal information we hold about you.
• Deletion: You may request deletion of your account and associated personal data, subject to records we are required to keep for payroll and legal compliance.

To make a request, contact us using the details below. Because the App is provided through your employer, some records (such as payroll timekeeping) may be retained by AIR817 as required by law even after a deletion request.

Children's privacy

The App is a professional tool intended for users 18 years of age and older. It is not directed to children, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above. Your continued use of the App after an update means you accept the revised policy.
